The team inbox for truck dispatchOne load. One thread. One owner.
Rate cons sent to your shared dispatch@ get exactly one owner. Broker emails and driver chats sit together by load. BOLs reach the broker in one tap — from your own Gmail.
Why dispatch offices use it
Built around the load, not the inbox.
Generic shared inboxes don’t know what a rate con is. A TMS wants to run your whole company. HaulInbox does one job: the conversation around every load.
No more lost rate cons
Rate cons and tenders sent to dispatch@ land in Unassigned until someone taps Mine. Load offers wait quietly in Other; promotions stay out.
No double replies
Every load has one owner. Teammates see who took it — and who is replying right now.
Broker and driver, side by side
The broker’s email thread and the driver’s chat sit next to each other, with the load number on both.
Documents in one tap
Send the driver’s BOL into the broker’s Gmail thread, or the rate con to the driver. Sign rate cons on your phone.
After hours sees every driver
Hand loads over with notes, assign to a teammate, snooze until morning. Nothing waits in someone else’s phone.
Your Gmail stays your Gmail
Replies go out from your own address, in the same thread, and show in your Sent folder. No app signature, no tracking.
Today vs. HaulInbox
The same work, without the chasing.
| Gmail + phone today | With HaulInbox | |
|---|---|---|
| A rate con hits dispatch@ | Everyone gets a copy; whoever replies first takes it | It lands in Unassigned — one tap on Mine and it’s yours |
| The driver sends a BOL | A photo in your texts, then you forward it by email | It’s in the load’s chat — one tap sends it into the broker’s thread |
| After hours | Call the day dispatcher and hope | After-hours staff sees every driver chat and the notes |
| “Who answered the broker?” | Ask around the office | Each thread has an owner; the owner sees reply times |
| A dispatcher leaves | Brokers and drivers leave with their phone | Driver chats and the shared inbox stay with the company |
How it works
Getting started.
Sign in with Google
One tap signs you in and connects your Gmail. We never see your password, and you can remove access anytime.
Invite your team
Owner, admin, dispatcher or after hours — everyone sees what their role needs, nothing more.
Invite your drivers
A link or a short code. Drivers use the free app, in English or Spanish.
Try it on dispatch@ first
Trial mode only watches your shared inbox — nothing changes for your team. The report shows every rate con it would have caught.
For drivers
Free for drivers. Nothing new to learn.
- Chat with dispatch, send photos and PDFs — or scan pages straight into one PDF.
- “My loads”: a private list of the loads they hauled, with the BOLs and PODs.
- The app speaks English or Spanish.
- Drivers never see broker emails or rates unless you send them.
Trust
Your mailbox. Your data. Your call.
- Google sign-in — we never see or store your password.
- Remove access anytime in your Google Account, or delete everything from the app.
- Each company’s data is separated. A personal mailbox is visible only to its owner, unless they share a thread with a teammate.
- Gmail data is used only to show and send your work email — never for ads or AI training.
Read the Privacy Policy.
Honest about what it isn’t
Not a TMS. Not a load board.
- No load booking or searching.
- No invoicing or accounting.
- Nothing is sent without you tapping Send.
Keep the tools you already use. HaulInbox handles the conversations around them.
FAQ
Questions dispatchers ask.
What is HaulInbox?
HaulInbox is a team inbox for US truck dispatch offices. It puts broker emails from your own Gmail and chats with your drivers in one place, organized by load number, so every rate con has one owner and every BOL reaches the broker in one tap. It is not a TMS or a load board.
Who is HaulInbox for?
Dispatch services and small to mid-size carriers whose dispatchers work out of Gmail or Google Workspace — especially offices with a shared inbox like dispatch@ where rate cons and tenders arrive for the whole team.
Will brokers see that I use an app?
No. Replies go out from your own Gmail address, in the same thread, without any app signature or tracking. They look exactly like the emails you send today.
How do we stop rate cons getting lost in a shared dispatch@ inbox?
HaulInbox reads the shared inbox and puts rate confirmations, tenders and e-sign requests into Unassigned. The first dispatcher to tap Mine owns the load, and everyone else sees it is taken. Load offers wait quietly in Other, promotions stay out, and you can route a broker straight to the dispatcher who handles them.
How does the driver’s BOL get to the broker?
The driver sends a photo or PDF in the chat, or scans several pages into one PDF. The dispatcher taps Send to broker, and it goes into the broker’s existing Gmail thread for that load, from the dispatcher’s own address.
Do drivers have to install anything?
Just the free HaulInbox app. They join with a link or a short code from you — no account to create and no password.
Does it work on iPhone and Android?
It works in any web browser today, and there is an Android app for pilot teams. The iPhone app is on the way; until then, iPhone users can use HaulInbox in Safari.
Do we need Google Workspace?
No. It works with regular Gmail and with Google Workspace accounts.
Is HaulInbox a TMS?
No. It doesn’t book loads, search load boards or do invoicing. Keep your TMS and load board — HaulInbox handles the emails and driver chats around each load.
Can we leave and take our data?
Yes. “Export everything” gives you a zip of your conversations and documents, organized by load. You can delete your account at any time.
What does it cost?
We’re onboarding a small group of founding dispatch offices now. Request a pilot and we’ll walk you through it.
